Once notifications are enabled, to set these up:

  1. Log into Apptoto

2. Navigate to the “Messaging” tab > “Appointment Auto Messages”

3. Click “+Add rule”

Add a new rule to create messages to be sent to appointment who are late or no-show

4. Name your Rule

5. On the Advanced tab, select:

  • First Field: participant.check_in_state
  • Second Field: ==
  • Third Field: noshow

6. Click Done.

7. Under the new rule you created, click “+Add Message or Sub-rule”

8. Select whether you’d like to send a Call, Text, or Email to no-shows

9. Set Purpose to “Notifications”

10. Set Name, When (timing), and Language as desired.

11. Click the “Edit” button next to the Message field.

12. Enter your no-show message in the Message field

  • If using a voice call, you can also upload your own MP3/WAV file and/or set the default TTS voice.

13. Click “Done and Save.”

14. Repeat steps 3-13 for “Late Arrivals” if desired.

  • In step 5, set the third field to late (instead of noshow)

15. Click “Save” in the upper right-hand corner of the “Appointment Auto Messages” screen to save all changes.


To have these custom “No-Show” or “Late” messages send to your clients, you’ll need to mark them as such in Apptoto.

  • On your Appointments tab, hover over an appointment.
  • A Check-In Status drop down will appear. Select “Mark as Late” or “Mark as No Show.”
  • That’s it! Apptoto will automatically send a custom message.
